Salesforce Certified Platform Administrator · Education Cloud · San Diego

Hi, I'm Jeffery. I moved a school onto Salesforce, and I keep it running.

I'm a Salesforce Administrator based in San Diego. At the school where I work full time, I led a nine-month Salesforce Education Cloud deployment, replacing TargetX and Jenzabar with one org that holds more than 100,000 student records and ten years of history, and I lead the team of admins that runs it. In the first term after go-live, admissions came in about $3 million above projection.

About

A little about me

I'm a Salesforce Administrator who owns projects end to end, from the first discovery meeting to go-live support, and leads the admin team that keeps the org running. That end-to-end ownership carried a whole school, and ten years of its data, through a nine-month move onto Salesforce Education Cloud.

I'd rather configure than customize: standard features first, automation only where it removes real work, and every change tested with the people who will use it before it reaches production.

I work best with staff who are not technical and do not want to be. Admissions, the registrar and faculty need a record that is right and a screen that makes sense, so training by role and a steady support cadence are part of every change I make.

Case study

Salesforce Education Cloud deployment

Nine months. TargetX and Jenzabar replaced by one Salesforce org holding 100,000+ student records and ten years of history.

What I did

  1. Discovery and sprint planning

Ran discovery meetings with stakeholders and everyone the change would touch, turned the requirements into a Jira backlog, and delivered the build in agile sprints.

  2. Data mapping, cleansing and migration

Mapped and validated the data in Informatica, cleansed and archived ten years of student records, then migrated more than 100,000 students out of TargetX and Jenzabar into Education Cloud.

  3. Visibility and access

Configured what each group of end users can see through the role hierarchy and sharing settings, so people get the view their job needs and nothing they should not.

  4. Flow automation

Created and optimized Flow automation to replace manual hand-offs, with guardrails so it stays safe and predictable at volume.

  5. Sandbox validation and UAT

Validated the build in a sandbox using UAT best practices: test scripts, sign-off from the people who would use it, and fixes before anything reached production.

  6. Training and support cadence

Trained staff by role and set a support cadence after go-live, so questions had a place to go and fixes had a rhythm.

Outcome

  • Admissions beat projection in the first term after go-live: about $3 million in revenue above plan.
  • One Salesforce org now holds what used to live in TargetX and Jenzabar: more than 100,000 student records and ten years of history.
  • Cleared pain points that had dogged the admissions department for years, and put a top-tier admissions experience in their place.
  • Leadership has end-to-end reporting, and staff have automation they trust because it is safeguarded and intuitive.
  • Managed the team of admins that keeps the org running.

Other work

Approvals in Microsoft Teams

Brought academic staff into the approval process without another login, saving costly licensing and another set of credentials. Each request posts an outbound JSON card into their Teams channel, so approvals happen where the conversation already is.

  • Approval process
  • Flow
  • Microsoft Teams
  • Outbound JSON

Reporting beyond the platform

Exported Salesforce data into spreadsheet software for advanced calculations and data visualization, giving leadership the models and charts the standard reports could not.

  • Reports
  • Data export
  • Spreadsheets
  • Data visualization

Lead and RFI intake through Zapier

Zapier middleware carries leads and requests for information from web forms and other sources straight into Salesforce for a dedupe check and distribution. The time once spent on manual entry now goes into working the lead.

  • Leads and RFIs
  • Dedupe rules
  • Lead distribution

Ways of working

How I work

Three modes, one org. Scroll, or click a heading.

  • Day-to-day support for admissions, the registrar and faculty: access, records, reports and the questions in between.
  • Maintaining a support channel with tier 1 and tier 2 handling for issues and escalations.
  • Pulling reports for benchmark reviews and data-driven decisions.
  • End-user account management and the customer experience site.

  • Agile, in sprints. Sprints break large initiatives into digestible chunks of work with transparent timelines, so stakeholders always know what is coming next and when.
  • In-depth discovery. Discovery and requirements gathering help ensure products are designed in line with expectations.
  • Sandbox first, then production. All changes are made in a safe sandbox org first and validated through UAT before going live.

  • Lead the team of admins that runs the org: priorities, standards and who owns what.
  • Oversee the data architecture so the org stays smooth and scalable.
  • Negotiate vendor contracts and licensing that extend what the org can do.

Experience

Where I've been

  1. Current role

Salesforce Administrator at a school, full time

Led the nine-month Salesforce Education Cloud deployment above, lead the team of admins, and run the org day to day: visibility and access, Flow automation, reports and dashboards, and support for the staff who use it.

  2. Previously

Salesforce Administrator as part of an admin team

Configuration, user support and day-to-day administration as one of several admins, before leading a team of them.

  3. Before that

    Business Analyst

Gathered requirements and mapped processes between business and technical teams, which is where the discovery-first habit comes from.

Hiring a Salesforce Administrator

I'm open to full-time Salesforce Administrator roles, and always glad to talk with a school planning an Education Cloud move.

If you hire me: the first 90 days

  1. Days 1 to 30

    Listen and audit

Discovery with admissions, the registrar, faculty and leadership. An audit of the security model, automation, integrations and data quality. A Jira backlog everyone can see.

  2. Days 31 to 60

    Quick wins, sandbox first

The fixes that remove the most manual work, built in a sandbox, validated with the people who use them, and released on a schedule staff can plan around.

  3. Days 61 to 90

    Cadence and roadmap

Training by role, a support channel with tier 1 and tier 2 handling, the reports leadership actually opens, and a roadmap for the next two terms.

Worth asking me about

  • How 100,000 student records were mapped, validated and migrated before anyone had to trust them.
  • Getting academic staff into the approval process in Teams without another login or license.
  • How admissions ended up $3 million over projection the term the org went live.
  • Setting an admin team's priorities, standards and ownership.
